In With the Media Library tool, you can add either External or Internal Media. The following instructions are for adding External Media.

For information on adding Internal Media with a video to the Media Library Tooltool without using an external host like YouTube or Vimeo, see these instructions.

To begin adding External Media,

visit the Video section of the Media Library in Beatrix (shown below).

Click Add New (highlighted in yellow above).

For External Media, enter the valid Vimeo/YouTube URL

in the Add an Externally hosted file or YouTube/Vimeo link field (shown below).

Once you have added the URL, make sure to click the blue Validate button

(yellow above) to ensure the system is able to process the link.

  • If the system cannot process the link, please check the URL and ensure that it is in the correct format

Press Create to add the external video to the media library.

  1. You can add an image to the external video that will appear as the thumbnail using the Media Thumbnail section.

    • The Select Thumbnail option allows you to generate a thumbnail from the video by clicking Generate.

    • The Upload Custom Thumbnail option allows you to add a custom thumbnail by uploading a photo or using available Media Library images.

  2. In the General Media Information field, input the appropriate ownership and copyright information for the video.

  • In the Media Title field, enter the title of the video.

  • The Alt Text field is required, as it is critical for screen readers and ADA compliance. Please enter a short descriptive phrase for the video.

  • In Description field, enter the description of the video content.

  • Artist Credits search bar to find the artist to indicate the appropriate ownership and copyright information for the video.

    • If the artist you need does not appear, please click Suggest new artist to send a request to the web team.

  • To determine whether or not the video should be allowed for reuse by any user in the Media Library system, use the Re-Use dropdown menu and select the appropriate option.

    • If your video may be used by others in the system, select the Anyone may use this media option.

    • If your video is for your use only, select the None, only I may use option.

In the Related Information section, select any appropriate data tags:

  • Use the People tag to add data pertaining to the individuals at Yale who appear in the video.

  • Use the Organizations tag to add data pertaining to the relevant organizations.

  • Use either the Keywords (Kyruus) or Keywords (Mesh) tags to add relevant keywords pertaining to the video content.

Note

Please note that the Related Information Keywords are currently in development. Integration with profiles and organizations has not yet been built and is slated for future development. While these fields are optional, we do recommend that you input the information now in lieu of the future development, rather than having to revisit old videos in the system.

  • The Require Yale CAS Login option allows you to add security to a video.

    • If this option is set to Yes, users will be required to log in with their NetId to watch the video.

  • Add Administrators: This will allow others in your department or collaborators to edit the data above for your descriptive data entered.
