Across the various tools in the News and People Profile System (profile.yale.edu), there are a few concepts that are consistent throughout. These instructions will highlight some of those elements and provide tips for general use of the Profile System.

To follow along with these instructions:

  1. Visit https://profile.yale.edu

  2. Log in with your NetID and password

  3. Click Profiles in the navigation at the top of the page.

  4. Find and select the profile you want to edit (see Edit a Profile for more information).

Navigation

The General Information & Biography page is the first page in the process for editing a Profile, here’s how it appears:

Please note that the Profile System main navigation will likely have fewer items when you log in than appears in the screenshot below. The modules available to you depend on your level of access. If you are missing access to a module that you should have access to, or if you’d simply like to use more functionality available in the system, please contact ysm.editor@yale.edu.

In the screenshot above, you can see 4 highlighted sections that are useful for navigating through the process of editing a profile:

  1. Profile System Main Navigation (yellow): These links can be used to navigate between the various modules of the Profile System, and you can click these links to go elsewhere.

  2. View Profile (blue): To view a preview of the profile you are editing, click the blue View Profile button in the top left of the page.

    • This section also shows you when the last edit was made to the profile.

    • Changes made to the profile must be saved for them to show up in the preview.

  3. Profile Editing Navigation (green): Use the navigation on the left to navigate to other pages in the process of editing a profile.

  4. Save this Section/Next Up (red): This appears in the top right of the page (highlighted above) as well as the bottom of the page.

    • You must click Save This Section to save the changes made before you navigate elsewhere using the left navigation, or the Next Up button.

    • If you do not, you will see a pop up asking if you want to Save or Discard your changes.

Profile Editors

In the header of the Profile Editing process, you can designate someone as an Editor on your Profile.

By listing a person as an Editor for your profile, you give them editing rights.

  • Your department has already designated a profile administrator who has access to edit your profile, but you can allow other Yale members to edit as well.

Do do so, click Add New... in the header (shown below) to add a new Profile Editor.

  • Start typing their name in the provided field (shown below) and select from the list.

If the name does not appear, email ysm.editor@yale.edu.

Once you have selected a name, click Add to add that person as a Profile Editor.

Click the X next to a person’s name (highlighted in yellow above) to remove someone as a Profile Editor.

Information Icons

Throughout the process of editing a profile, many sections and questions come with helpful additional information, which you can reveal by hovering over the “information” icon next to the word (highlighted below in blue).

 

Hovering over the information icon (highlighted above in blue) reveals helpful information about the section.

 

Missing Required Information

On some pages, like Clinical Trials (shown below), information can be submitted even though it is missing required information

These items that are missing required information can be identified by a yellow field, surrounded by a dotted line (shown below):

This is a system-wide format that identifies an item as missing required information.
