The Beatrix System (Beatrix.yale.edu) allows you to manage various types of information associated with a person’s profile.

The following instructions will explain how to add and edit the Honors & Service of a person for their profile.

To begin managing the Honors & Service for a profile:

  1. Visit Beatrix.yale.edu

  2. Log in with your NetID and password

  3. Click People in the navigation at the left of the page.

  4. Find and select the person whose profile you want to edit (see Edit a Profile for more information).

  5. Click the Honors button in the navigation on the left side of the page.

Professional Honors & Recognition

The Professional Honors & Recognition section allows you to add relevant professional honors and recognition, as they would appear on your CV.

To add a new honor, click Add New... and the following fields will pop up:

Fill out the following information to add an Honor or Recognition:

  1. Award Name: Enter the name of the award.

  2. Awarding Org: Enter to name of the organization that gave the award.

  3. Award Type: Use the drop down menu to choose the best description of the type of award from the options below:

    • International Award (Awarded outside the United States)

    • National Award (United States only)

    • Regional Award (Region in the United States only)

    • Yale School of Medicine Award

    • Yale University Award

    • Other Award

  4. Country: Select the country of the award. The answer from the previous question will change the available choices here.

    • For Example, if you chose International Award, use this drop down menu to choose the country of the award.

    • Any other choice will automatically populate this field with the United States

  5. Dates: Choose the date you received this award.

    • If you received the same award more than once, add the multiple dates by clicking Add New... in this field, as opposed to adding the award separately multiple times.

  6. Privacy: Choose whether you want the award to be Private or Public

    • Private means the award will not appear on websites for the profile.

    • Public means it will appear on websites for the profile.

Click Add to add the award to your profile.

The award will be sorted into the corresponding category in the Honors & Recognition section, based on the answer for Award Type.

You can see our newly added award in its correct section below:


The new award (yellow) has been sorted into its group, based on the answer for Award Type.


You can see the different lists, based on the answer for Award Type (highlighted above in blue).

You can edit or delete the award by using the pencil or trashcan icons, respectively (highlighted in green above).

Because we set this award to Public for the Privacy question in the General Information section, the globe icon (green above) appears in the award, indicating that the award appears on websites (more information on this below).

For awards that are set to Private, a grey lock appears where the globe would be (all the other awards in the list above).

 

If an award is set to Public, it will appear in the Honors & Recognition section of the Biography tab in the middle navigation of the YSM website for the profile (shown below):


Awards appear in the Honors & Recognition section (green) of the Biography tab (yellow).


You can see that the Award Name and Awarding Organization as well as the Date from above appear in the award details.

Professional Services

The Professional Services section allows you to add relevant professional honors and recognition, as they would appear on your CV.

To add a new service, click Add New... and the following fields will pop up:

Fill out the following information to add a Professional Service:

  1. Sponsoring Organization: Enter the name of the organization that you completed this service for.

  2. Category: Use the drop down menu to choose the best description of the type of service from the options below:

    • Committees

      • If you choose Committees, you will also be required to enter the Committee Type

    • Advisory Board

      • If you choose Advisory Board, you will be required to enter the Name of the Board

    • Journal Service

    • Meeting Planning/Participation

    • Peer Review Groups/Grant Study Sections

    • Professional Organizations

    • Public Service

  3. Role: Use the drop down menu to choose the option that best descbribes your role.

    • These options will change based on the Category you choose

    • If a good option is not in the list, you can click Request new role... to request that a role be added to the list.

  4. Start and End Date: Enter the date range of the service

    • Click Select full date or Select year only to toggle between those two options for entering the date of service.

    • If the service is ongoing, do not enter an End Date.

  5. Description: Add a description of the service.

  6. Privacy: Choose whether you want the service to be Private or Public

    • Private means the service will not appear on websites for the profile.

    • Public means it will appear on websites for the profile.

Click Add to add the service to your profile.

The service will be sorted into the corresponding category in the Professional Services section, based on the answer for Category.
