Editing Occurrences

When creating a Recurring Event in the Profile System, you have the opportunity to edit the event's occurrences individually with the Edit Occurrences tab. This section comes after completing the following sections:

The Edit Occurrences section allows you to select and edit single occurrences in an event series - for instance if you have to cancel or reschedule a weekly meeting.

After completing the first 4 sections in the process of adding a Recurring Event to the calendar, you are taken to the Edit Occurrences tab:


Click the pencil icons (blue) to edit an occurrence.


 

The edit occurrence tab shows you each individual occurrence of your Recurring Event.

  • To edit an occurrence, click on the pencil icon (highlighted in blue above) next to the instance of the event you need to edit.

You will be taken to a process that closely resembles that of a Single Event, as it is an individual event in your Recurring Event:

Navigate to any section of the event that needs updated details, using the breadcrumb tabs at the top of the page.

Because the event is part of a series, not all fields are available to be edited.

Please note that once you edit an occurrence of an event, changes made to the event series will no longer apply to that occurrence. For example, if you change the speaker for a single occurrence of a recurring event, then change the speaker of the entire event series, the speaker you add to the series will NOT override the speaker you previously added for an individual occurrence.

 

Event Info

Because the event is part of a series, the Event Info section contains important differences.

You’ll notice when you navigate to the Event Info tab and look at the section containing Start and End Date, there is the information below, highlighted in yellow:


You must choose a date that will not interfere with other occurrences in the series (yellow). If you don’t, you will see the above error message (red) for disrupting the recurring event schedule.


 

Because this is a Recurring Event, you’ve already set the dates of reoccurrence for your events, (for details, see ) so you cannot change the date of an individual occurrence if it is not consistent with the reoccurrence schedule.

If you try to, you will get the error message above (highlighted in red).

To save any changes, click Save and Continue at the bottom of the page.

 

People & Calendars

Another change of note when editing an occurrence for a Recurring Event is in the People & Calendars section.

You can explicitly suggest an individual occurrence to additional calendars beyond what was suggested for your Recurrent Event (highlighted below in yellow, see for details).


You can choose whether to suggest the whole event or just the occurrence to a calendar (blue). Your Recurring Event calendars are already suggested (yellow).


 

  • Select the left radio button next to Add only this occurrence to suggest this individual occurrence to a calendar (highlighted in blue above).

  • Select the right radio button next to Add entire event series to suggest the whole Recurring Event series to a calendar (highlighted in blue above).

When you are finished editing the instance of your event, navigate to the Publish Info section, and click the Publish button.

If at any time you would like to navigate back to the original Recurring event, click on View Full Event Series at the bottom of the page.
