Student Publications Summary Project
Prerequisites
Before you begin, make sure you have:
A stable internet connection
Yale VPN connected
A designated folder on your computer for downloaded publication PDFs (for easy cleanup after the project is complete)
You will be working from the project spreadsheet:
Workflow
Open the project spreadsheet and choose a range of rows to work on (for example, rows 100–300).
In your chosen rows, select the “Beatrix Link” in Column D.
This opens the publication summary for that article in Beatrix.
In Beatrix, select the blue “Create” button.
If a link from Column D results in a Error 404, mark Column A as “Error.”
Return to the spreadsheet and select the “DOI Link” in Column F.
This opens the publication website. You may need to complete a verification step to confirm that you are a human.
From the publication website, download the PDF to your computer and save it in your designated folder.
Return to your browser tab with the matching publication summary open in Beatrix.
In Beatrix, scroll to the “Publication Info” section and upload the matching PDF into the “Full Original Publication Text” box.
After the PDF finishes loading, select “Generate Draft Text.”
When the pop-up modal “Proceed with overwrite?” appears, select “Approve.”
Wait while the “AI is generating publication summary” pop-up modal processes, then select “Done.”
Return to the spreadsheet and update the status for that row in Column A to “Done.”
Add your name to Column B for the same row.
Repeat steps 1–10 for additional rows until the spreadsheet is completed.
Tracking progress in the spreadsheet
For each publication you complete:
Set Column A (Status) to “Done” for that row.
Add your name in Column B for that row.
