Required Security Update Affecting Beatrix Document Links

Problem

Previously, links to documents posted to https://medicine.yale.edu and behind CAS or other security could be shared externally, meaning someone with access to a secured file could share the URL with an external person who should not have access.

Solution

Old URLS start with the domain https://files-profile.medicine.yale.edu. These URLs will no longer work starting May 28, 2026

New URLs, which start with https://medicine.yale.edu/download-file/, are permanent links you can start using now when linking from emails, other documents, etc.

We upgraded document URLs with new links that enforce login on download. There are several benefits to this new approach:

  1. Login is required at the time the URL is visited.

  2. Files linked on the YSM website will now have permanent links that do not change when the document is overwritten with a new version in Beatrix.

  3. The documents now use the same exact domain as our website (medicine.yale.edu), adding consistency to the browsing experience.

At this time (May 19, 2026) the new URLs are in place on medicine.yale.edu websites, but old URLs still function.

Guidance for Reviewing Links

Web Services has replaced all instances of the old URLs on the YSM website. If you copy/pasted the old files-profile.medicine.yale.edu links from the website into newsletters, emails, documents, or other content, those links will stop working on May 28, 2026.

To correct these link issues:

  1. Review any documents, emails, or other content that exists outside of the YSM website (https://medicine.yale.edu) that contain important links to documents hosted on the website.

  2. Find any old URLs:

    • Specifically, old document links that start with “https://files-profile.medicine.yale.edu”

    • Links that point to pages on the website (https://medicine.yale.edu) are ok and should stay the same

  3. For old URLs that need to be replaced, make sure to copy the link to the document from the website, not from Beatrix.

  4. If you are correcting a link that exists in a Beatrix Media Library file, make sure to upload the new version over the old one by replacing the existing Beatrix Media Library document. This will ensure the URL does not change.
