History and Timeline

Below is more information about the project timeline and hurdles.

  • May 20, 2022 David Grandchamp from YNHH calls a meeting at the request of Lisa Stump with guidance from Cynthia Sparer and Cliff Bogue to create a better patient experience for online appointments. Outcome: need to create designs for new Epic widgets for YaleMedicine.org website by May 27, 2022 for a June 1, 2022 presentation by Lisa Stump.

  • May 20, 2022 - May 26, 2022 Discuss functionality questions with YNHH team. Receive embed widgets. Question whether embed widgets can be styled.

  • May 27, 2022 YM team delivers proposed designs based on understood functionality and asks YNHH team if they are viable to implement. Request confirmation that YM will be able to style the widgets. See designs.

  • Jun 7, 2022 Lisa Stump schedules meeting to discuss project. Cancels 1 hour before meeting.

  • Jun 7, 2022 - Aug 12, 2022 Nicole Wise and Justin Fansler separately request update on project. No response.

  • Aug 10, 2022 Kunjan Divatia from YNHH provides an update that Pediatrics would like to go live by October. Nicole Wise and Justin Fansler request a meeting to better understand the project and timeline.

  • Aug 12, 2022 Nicole Wise, Justin Fansler, and Kunjan Divatia meet to discuss. Justin communicates that YSM is relaunching the school’s profile system, which powers data on the Yale Medicine website, on October 24 and would prefer a November 1 launch. All agree that November is ok. YM team asks if designs presented on May 27 are viable and notes the need to know answer before moving forward.

  • Aug 29, 2022 Kunjan emails that we can use the proposed YM designs and asks again about an October 1 deadline. YM team asks for November timeline. Receive confirmation.

  • Sep 1, 2022 Based on leadership meeting, Nicole Wise asks Lisa Stump via email if we should be mobilizing for an early October launch. Lisa refers to Kunjan Divatia to answer. In a quick meeting with Lisa and Kunjan, it is communicated to YM team that October 1 is a top leadership priority. YM team commits to meeting this deadline and rearranges resources/profile system launch schedule to accommodate. YNHH team commits to providing access to necessary servers and APIs.

  • Sep 2, 2022 Justin Fansler asks Lisa Stump and team, with urgency, for necessary code and access to begin implementation. No action is taken until September 14.

  • Sep 8, 2022 Justin Fansler receives notice that YM cannot style the widgets separately from YNHH.

  • Sep 13, 2022 Justin Fansler and Cortney Mears (YNHH) discuss creating a joint style for the widgets. Design completed by YM on September 16 and agreed to by YNHH marketing and YM team. YNHH agrees to implement.

  • Sep 14, 2022 Lisa Stump calls emergency meeting with YNHH CTO (Glynn Stanton) and team to facilitate access to Epic APIs and code so YM can begin implementation. YNHH team appears unaware of the project or timeline. YNHH team expresses concern that YM uses offshore development resources. Lisa Stump expresses, through a text conversation with Glynn, her concern. Justin reaches out to Lisa via texting to discuss (Lisa is unaware of YM website infrastructure and development strategy) – receives no response. Progress is made on the call and YNHH asserts all necessary access is granted. YM cannot confirm access and issues continue.

  • Sep 15, 2022 YM team continues receiving errors when trying to access code. YNHH IT team is unable to help. YNHH marketing connects YM team to its website vendor, Rightpoint, to discuss. In working with Rightpoint, YM team discovers that it has not been given all necessary code from YNHH IT.

  • Sep 16, 2022 Justin Fansler emails broad team to resolve outstanding issues. YM technology team receives access to necessary code and access to begin implementation. It’s an all-day process that should have been simple.
