Google Drive stores files, spreadsheets, documents or slides that can be shared and co-authored, making it very handy for collaboration.
Google Docs is good for quick writing collaboration opportunities.
YSM websites have an integration with Google Sheets and can display them on websites, giving web owners access to update their online files directly.
Google Slides is helpful for presentations that need to be shared across devices.
Overall, it’s recommended to use Box or MS OneDrive (integrated with Microsoft365 and SSO) for storing important Yale files, instead of Google Drive or Google Docs.
One limitation of Google Drive is that Yale users have to register their Yale email address (or use a personal email address) to be used with Google in order to access the services. If any Yale content is housed in Google Drive, owners have to be aware that no one can access the information in case of emergency unless they’ve been given edit access in advance.

This is the ticketing system the Office of Communications uses to track and manage website projects and software-related developments.
Jira is a powerful tool for assigning project tasks, ticketing, bug tracking, and project management that requires substantial set up time and learning. The majority of employee needs can be met by using Qualtrics (for forms or tickets), or Airtable or Microsoft Project (for project management). Contact Mark.Albis@yale.edu to learn more.
