Status Update: September 24, 2022
Below is brief overview of the work done from September 18-24 to launch Epic Open Scheduler on YaleMedicine.org for selected Pediatric specialties. A major setback occurred on Friday morning when the YM team learned that underlying Epic functionality does not exist to display appointment availability on a provider profile if they see patients at multiple locations (most do). Website implementation work for last week was rendered unusable. YNHH and YM teams are meeting at 11:30am on Monday to determine the launch timeline.
Achievements this week
Provider profile design updated. Design was updated to reflect Epic limitations to display appointment availability for providers with multiple locations. Website implementation work using a new workflow will begin next week. (Read more)
Data feed fixed. Working with the YNHH team, we determined why the data feed (API) was returning incorrect data for provider availability. This fix was critical to implementation.
Data clarified. The launch provider list was reconciled between YNHH and YM (there was a 291-person discrepancy last week). 50 YM providers will be included in launch tranche; 59 overall. (Read more)
Challenges
Outstanding data questions. There are several critical data questions that need to be resolved in the coming days. (Read more)
Data feed limitations. We are not using the API according to Epic recommendations, which is leading to 3 second page load times. Need to address an alternate approach with joint teams. (Read more)
Testing data. The YM and YNHH teams need decision tree data in Epic for testing purposes. (Read more)
Available appointments. Of the 59 people going live, 19 have appointment availability in October. (Read more)
Unknown data and Epic functionality issues. The teams continue to uncover data and Epic functionality problems daily. Each are resolved, but as we approach launch, new problems could create delays.
