Uploading Documents

Prior to adding documents to pages, you must first upload the image into Tridion as a component itself. Word, Excel, and PDF documents, just to name a few, are considered Multimedia in Tridion.

The following instructions will provide information on how to upload Documents into Tridion from your computer, prior to adding them to a page.

 

All documents uploaded to a YSM website must be accessible. It is the responsibility of the creator of the file to ensure compliance with the University Accessibility Policy.

Uploading Documents

To start uploading a Document to Tridion, go to the Building Blocks folder of your Publication.

  • If your publication has a Documents folder, navigate to that folder.

  • If this folder does not already exist, you can create one by clicking New Folder in the Create tab. Type "Documents" in the Name field, then Save and Close.

In your Documents folder, begin by adding a new Multimedia Component:

  • In the Create tab (highlighted above in yellow), click the bottom half of the New Component button (highlighted in blue above).

  • In the menu that drops down, click New Multimedia Component (highlighted in green above).

  1. Name: Provide the name of your file.

  2. Schema: Select Document from the drop-down menu (highlighted in yellow above).

  3. Multimedia Type: Select the type of document you are uploading.

  4. Click Load From Disk (highlighted in blue above) and Tridion will open a new window for you to locate and choose the document from your own computer.

  5. After selecting the correct document, remember to Save and Close.

 

Best Practices For File Naming

  • A good format for date designations is YYYYMMDD or YYMMDD. This format makes sure all of your files stay in chronological order, even over the span of many years.

  • Try not to make file names too long, since long file names do not work well with all types of software or browsers.

  • Special characters such as ~ ! @ # $ % ^ & * ( ) ` ; < > ? , [ ] { } ' " and | should be avoided.

  • When using a sequential numbering system, using leading zeros for clarity and to make sure files sort in sequential order. For example, use "001, 002, ...010, 011 ... 100, 101, etc." instead of "1, 2, ...10, 11 ... 100, 101, etc."

  • Do not use spaces. Some software will not recognize file names with spaces, and file names with spaces must be enclosed in quotes when using the command line. Other options include:

    • Underscores, e.g. file_name.xxx

    • Dashes, e.g. file-name.xxx

    • No separation, e.g. filename.xxx

    • Camel case, where the first letter of each section of text is capitalized, e.g. FileName.xxx

 

 

Editing Documents

There will be times when you are asked to repeatedly edit a document that you've already uploaded into Tridion. Instead of uploading new versions into Tridion, use this method. This method prevents uploading too many documents in Tridion and causing confusion when selecting components for later use.

  1. Open the document multimedia component you previously created.

  2. Click Load From Disk and select the most updated version of your document from your computer.

  3. After selecting the correct document, remember to Save and Close.

 

Adding Documents to a Page

Once you’ve upolaoded our documents as components, you’ll want to add them to a page.
